In this implementation lesson, you’ll watch the exact closure workflow. The goal is simple: close the file so you can reopen it later without confusion. You’ll confirm the final chronology, evidence map, final draft, approvals, and delivery record—then you’ll archive the matter properly.

This lesson will demonstrate closing the file step-by-step using the Case Closure Checklist and Final Case Summary.
You’ll use: M5-05 Case Closure Checklist + M5-06 Final Case Summary Template + M5-08 Client Closing Email Template.
Step-by-Step Closure Workflow
- Open the Case Closure Checklist.
Do not rely on memory. Use the checklist every time. - Confirm final versions exist in the case folder.
Final chronology, evidence map, final approved draft, and revision/approval record. - Confirm naming and versions.
Ensure documents are dated and labeled clearly (no “final-final”). - Confirm delivery record.
Verify what was delivered to the client, when, and how (email/link/portal). - Create the Final Case Summary.
Summarize: what the client reported, what was drafted, what evidence was referenced, and what was delivered. - Archive the matter.
Move the file to the archived location and update your Archive & Retention Log. - Send the client closing email.
Use the template so the closing message is consistent and professional.
Closed File Checklist (Minimum Standard)
- Final Chronology (updated and verified)
- Evidence Map + Gap List (final status)
- Final Client-Approved Draft (and signed copy if applicable)
- Revision Tracking + Approval Confirmation
- Exhibits / Index (if used)
- Final Case Summary + Delivery Record
Non-Negotiable Rules
